Terms and Conditions

These Terms and Conditions form the agreement between The Pilates Station Halifax (“we”, “our”, “us”) and all clients (“you”, “your”) who purchase memberships, class passes, or services. By creating an account, booking, or attending a class, you agree to abide by these terms.

1. Memberships and Class Passes

1.1 Loyalty Memberships

Our Loyalty Memberships (Foundation, Momentum, and Elevate) are designed to encourage regular practice and offer the best value for consistent attendance. Each membership includes a set number of classes per month:

  • Foundation Pass - 4 classes per month
  • Momentum Pass - 8 classes per month
  • Elevate Pass - 12 classes per month

Bonus classes are gifted as a reward for attending all allocated classes within the month. Bonus classes cannot be carried over or exchanged for cash value. Loyalty Memberships renew automatically every month unless cancelled in accordance with section 5.

1.2 Class Allocation and Rollover

Classes must be used within the same month they are allocated.

They cannot be saved, banked, or carried over into the next month unless we’ve agreed a holiday rollover in advance.

Holiday rollovers can only happen twice per year, and only while your membership is active.

If your membership is paused or cancelled, any unused classes or rollovers will expire.

1.3 Flexi Passes

Flexi Passes are designed for those who prefer more flexibility.

Options include:

  • Single Class - £22
  • 6-Class Flexi Pass - £120 (valid for 3 months)

Flexi Passes are non-refundable and do not renew automatically.

Once purchased all classes are used or the pass expires, a new pass must be purchased to continue attending

2. Booking and Attendance

2.1 Booking System

All booking must be made via The Pilates Station App or your TeamUp account.

Bookings cannot be made by phone, text, or social media.

2.2 Class Availabiluty

Class spaces are limited. Members are encouraged to book early to secure preferred times.

We reserve the right to make timetable changes when necessary (for example, teacher cover, holidays, or maintenance).

2.3 Class Conduct

Please arrive on time, wear suitable clothing, and inform your teacher of any injuries, health changes, or pregnancy.

We reserve the right to refuse participation if a member is deemed unfit to take part safely.

2.4 Recurring Bookings and Overbooking

Recurring bookings are designed to reserve your regular weekly class(es). The number of recurring classes you can hold depends on your membership type:

  • Foundation Pass - 1 recurring class per week
  • Momentum Pass - 2 recurring classes per week
  • Elevate Pass - 3 recurring classes per week

No recurring classes can be booked on a Flexi Pass.

If a recurring class, or any other class, has been overbooked or the booking system has allowed you to reserve more sessions than your membership covers, we reserve the right to cancel bookings to bring your account back in line with your current pass or payment level.

Where possible, we will contact you to confirm which classes you’d prefer to keep.

3. Cancellation Policy

3.1 Late Cancellations and No-Shows

We operate a 24-hour cancellation policy.

  • Cancellations made less than 24 hours before the class will be charged as if attended.
  • Missed or late-cancelled classes are not refunded or replaced.

3.2 Teacher or Studio Cancellations

If a class is cancelled by The Pilates Station, we will offer an alternative class, class credit, or future booking.

In the event of bad weather or circumstances beyond our control that cause the studio to close, an alternative online class will be provided in place of your booked class so your practice can continue uninterrupted.

4. Pausing, Holidays, and Christmas Closure

  • Members may pause their membership for up to two weeks per year for holidays, provided notice is given in advance.
  • Longer pauses (for medical or personal reasons) can be agreed on a case-by-case basis.
  • During a pause, classes cannot be booked or attended, and no new classes will be allocated.

4.1 Christmas Studio Closure

The studio closes for two weeks over the Christmas period each year.

During this time, only half of your usual monthly class allocation is required to be taken, as only half of your usual monthly fee has been charged for this period.

Membership payments continue as normal because the monthly fee is calculated as an annual total divided equally across 12 months.

For example, the Foundation Pass is based on the total yearly cost of 50 classes, divided into 12 equal monthly payments for convenience.

Please do not book or attend more than your half allocation of classes during the Christmas period, as your membership payment already includes this scheduled scheduled closure.

5. Membership Cancellation and Class Credits

5.1 Cancelling a Membership

Only Loyalty Memberships renew automatically.

To cancel a Loyalty Membership:

  • You must cancel via your account (under Membership Details) at least 5–7 working days before your next billing date to avoid further payment.
  • Cancellations must be made directly through the booking system, not by phone, email, or social media.
  • It is the member’s responsibility to know how to cancel their membership. If you are unsure, our admin team can provide simple instructions on how to do this.
  • Once a payment has been taken, it cannot be refunded if notice was not given through the correct method and timeframe.
  • Flexi Passes do not auto-renew and therefore do not require cancellation.

5.2 Class Credits

  • Refunds are not provided for missed or unused classes.
  • In cases of illness, injury, or recovery from surgery, we may offer a class credit for future use at our discretion.
  • Bonus classes are complimentary and hold no monetary value.

6. Health and Safety

  • All clients must complete a Health Screening Form before attending any class.
  • You are responsible for informing your teacher of any medical changes, injuries, or conditions before each session.
  • Participation in any activity is at your own risk. The Pilates Station and its instructors accept no liability for injury or loss sustained while participating in classes, except in cases of proven negligence.

7. Behaviour and Respect

We are proud of our calm, welcoming environment.

Members are expected to treat instructors, other clients, and the studio space with respect at all times.

Disruptive, abusive, or unsafe behaviour may result in termination of membership without refund.

8. Privacy and Data Protection

Your personal data will only be used for managing your bookings, memberships, and studio communications.

We comply fully with UK GDPR regulations. Your information will never be shared with third parties without consent.

9. Changes to Terms

The Pilates Station reserves the right to amend these Terms and Conditions at any time.

Updates will be posted on our website and within the booking app. Continued use of our services constitutes acceptance of the revised terms.
